Administrative Coordinator

Come work for a non-profit organization that makes a difference! Naples Pride Center, an LGBTQ+ center, is seeking a community member to join our team as our Center Administrative Coordinator. This exciting position centers around coordinating all aspects of the Center operations. In addition to the more typical day-to-day tasks, you will work closely with our volunteers to help staff events, support our groups, and provide general assistance to the center.
Responsibilities
Administrative
-
Organize incoming and outgoing mail to the Center which includes sorting, routing to the appropriate person for response, sorting bills and informing the Treasurer as to the arrival of bills, donations and new members.

Enter basic information into Salesforce and work with the appropriate Board member to make sure the data is entered in such as a way that beneficial reports may be generated to help the Center make effective financial decisions.

Manage office files, including electronically, and label them accordingly that is logical and easy for others to find information.

Organize office supplies and promotional material and make sure ordering is done timely and in a cost effective manner.

Track visitors and clients to the Center and identify services/programs they are seeking in accordance with the Board’s needs.
Communication

Update events, information, articles and information to the website in a professional way, without typos or errors.

Research effective ways to communicate with the community to enhance the presence of the Center.

Assist the Board with the newsletter, as needed.
Customer Service

Provide a welcoming and supportive environment to all walk-ins, phone inquiries as well as funders, other agencies and community partners.

Respond to basic inquiries about Center communications and events. Refer other communications to the appropriate staff person or Board member as needed.
Volunteers

Work with Volunteers on specials projects to help utilize their skills and service.

Work with the Board President to conduct background checks, as necessary.
Events

Work with other staff and the Board to help plan, coordinate and promote Center Events.

Reach out to local businesses and individuals for donations.

Coordinate and project manage events, as needed.
Grants

Work with the Board to support grant writing activities, funding, reports and research related to grants, donors and fundraising.
Abilities

Ability to maintain confidentiality in all communications.

Ability to work with the LGBTQ+ community, as well as a very diverse clientele.

Ability to work in a collaborative and effective office environment with clients, volunteers, the Board and other community members and clients.

Ability to apply good judgement and decision making skills.

Ability to use Microsoft Office including Word, Excel, Powerpoint and Outlook as well as Salesforce and other web based tools such as Canva, Instagram, Facebook, Twitter, Snapchat, newsletter software and website infrastructures.

Ability to work efficiently, be self-directed and work with minimal supervision.

Ability to multitask, prioritize work and complete work in a timely manner and with minimal errors.

Ability to promote the Center and to promote the Center and its programs in a positive way.
Qualifications

College degree is preferred.

This job requires a working knowledge of the issues facing the LGBTQ+ community.

Sales Force CRM experience a plus.

Bi-lingual a plus.
